POSITION SUMMARY
This is a voter-focused position comprised primarily of clerical work related to the voter registration process. Customer service is a key aspect of the job, with some independent judgment and self-motivation necessary for adherence to and interpretation of routine tasks, policies, guidelines, and regulations.
Skills and Qualifications
REQUIRED
• A high school diploma and a combination of training and experience that includes at least two years of office work experience
• Valid driver’s license/dependable transportation
• Working knowledge of office practices, procedures, and equipment
• Ability to learn assigned clerical tasks readily and to adhere to prescribed routines
• Commitment to time management and punctuality
• Familiarity with all applications of Microsoft Windows
• Adaptable to change and understand workplace flexibility
• Ability to write legibly and to follow oral and written instructions
• Ability to meet and deal effectively and very courteously with the public
• Ability to establish and maintain good working relationships with co-workers
• Ability to prepare routine letters
• Ability to speak clearly and courteously on the phone
PREFERRED
• Ability to understand county, state and federal regulations as they relate to the electoral process
• Experience working in the elections industry
• Working knowledge of applicable components of the Voter Registration software application, including, but not limited to, voter search/edit and vote-by-mail (VBM) request screens Functions and Responsibilities
• Provides courteous customer service to the public by responding to inquiries regarding routine election matters, in person and/or by phone
• Prepares and enters data into a computer system accurately and in a timely manner, responsible for scanning and indexing paperwork
• Proofs a variety of work
• Processes Florida Voter Registration Applications and Federal Postcard Applications
• Responds to requests relative to address changes, name changes, party changes, and duplicate information cards to keep records up to date
• Prepares and mail voter information cards
• Follows general registration list maintenance programs to ensure accurate voter records
• Assists with National Voter Registration Act (NVRA) compliance
• Receives and process requests for Vote-by-Mail (VBM) ballots
• Assists in preparing VBM ballot packets for mailing
• Performs duties required for Early Voting; may assist with preparations for elections
• Performs clerical duties as well as operating office equipment including equipment related to mail processing
• Prepares supplies, forms, and materials for elections as directed
• Assists in election night procedures
• Processes petitions as assigned
• Prepares lists and reports
• May be assigned to assist with the training of new or other personnel
• Participates in ongoing training in areas of computer/software knowledge, election laws/rules or other areas of applicable study as assigned
• Assist other departments as needed
• Attends or conducts voter registration events/activities as assigned
• Other duties as assigned
Physical Demands/Work Environment
• Flexible to cover offices in Punta Gorda, Port Charlotte and Englewood when needed.
• Work involves sitting at a desk with some standing (occasional long periods of standing), stooping, and occasional lifting of objects less than 45 pounds. Work demands the ability to multi-task and work well under pressure.
• Work may involve weekends and evenings during an election cycle.
